The RegFox Check-In app helps lines flow smoothly on the day of your event! The Check-In app is used to scan the QR code issued on your registrant's confirmation. Or, you can use it to manually look people up. It also allows you to redeem items, check into sessions, upgrade, downgrade, prevent fraudulent entries, and more!

Feature highlights

Download the check-in app

The RegFox Check-In app can be downloaded on iOs or on Android.

Logging into the app

  • Open the RegFox app on your mobile device

  • Scan your app key QR code, or manually enter the app key

Manually enter your app key

Scan in registrants

  • Tap the Scan icon on the home screen of the app

  • Point your camera to the QR code on the registrant's confirmation to scan them in

  • Tap the Check-In button

  • NOTE: You can also tap the boxes to redeem any items they may have purchased as well

Manually Search for Registrants

  • Tap the Find icon

  • Begin typing in the name or email of the registrant and the smart search will begin displaying registrants

  • When you see the person you'd like to check in, tap their name

  • Click the Check-In button

Group Check-In

Group check-in is able to be performed when multiple people are registered on one order

  • To perform Group Check-In you'll either want to scan one of the registrant's QR codes or search one of their names

  • Upon doing so, scroll to the bottom of the screen and you can check which people in that group you'd like to check-in

  • Click the Check-In button to check all the selected registrants in

Redeem Items

  • To redeem items purchased through the merchandise or sessions field, you would scan the registrant's QR code, or manually search their name or email

  • Scroll down to the bottom of the screen and tap the item(s) you'd like to redeem and then tap the Redeem button

Edit Registrant

In order to utilize this feature in the check-in app, you'll want to be sure to have enabled this in the app key setup. You can always toggle it on after creating the app key.

  • Scan the QR code or search the registrant's name or email

  • Tap the Edit link in the upper right corner of the screen

  • Make your desired changes to the registration such as changing the session, adding or removing merchandise, etc.

  • Scroll to the bottom and tap Save Changes button

Require Signature

Upon setting up the app key, the option is available to require the signing of a waiver upon being checked in. Custom text or a PDF can be uploaded for review and signature. Here is how this works in the app:

  • Scan the registrant's QR code or search their name or email

  • When you tap the Check-In button, the screen for Terms of Use will appear, presenting the waiver and signature box

  • Once they complete signing tap Accept and they will be checked in

Require Selfie

When setting up the app key, the option is available to require the registrant to take a seflie photo. This selfie photo is stored with their registration in the app. This image can be retaken later if need be. This is often used for memberships or people who will be leaving and returning to an event to help prevent fraud.

  • Scan the registrant's QR code or search their name or email

  • Upon tapping the Check-In button, a 3 second countdown will appear on your screen and will capture their selfie (so be sure to quickly point the camera at the registrant).

  • If you (and they) like the photo, tap Next. If you wish to retake it tap Take Again

  • The registrant will now be checked in

Self Check In Mode

If you'd like to setup a kiosk type setup for check-in where registrants check themselves in. Here is how you can do so:

  • From the home screen of the check-in app, tap the gear icon in the bottom right corner of your screen

  • Toggle on Self Check In Mode

  • Enter a password that only your team or staff would know. This password would be used to enable or disable Self Check In Mode

  • Registrants would then be able to select whether they would like to scan their QR code or search their email address

Syn Data + How to Log Out

When connected to wifi or cellular data, the RegFox check-in app will automatically sync with the database every 90 seconds. But, if you wish to force a sync sooner, here is how to do so:

  • From the home screen of the Check-In app, tap the gear icon in the bottom right corner of your screen

  • Tap Sync Data

  • To log out of the app... Tap the gear icon in the bottom right corner of the account

  • Tap Log Out

How often does the app sync with the online database or other scanning devices?

When your device is connected to wifi or cellular data, it will automatically sync every 90 seconds with the online database as well as other scanning devices.
