Getting Started

  • From the Pages screen, click the pencil icon under the page you want to edit

  • Hover your mouse over the Onsite tab in the top menu bar

  • Select Badge Printing from the dropdown

  • Click Create Badge Design

  • Select your badge size and print style (single or double -sided)

  • Select one of the template layouts

  • Name your badge (this is for internal use only)

  • Click Save

Note: You can choose from several badge sizes when creating your badge. Click here to find compatible badge stock for each size.

  • 4"x3" single sided badge

  • 4"x3" double sided badge

  • 4"x6" single sided badge

  • 4"x6" double sided badge

  • Customize and design your badge, if desired

  • When you are done customizing your badge, click Save & Close to save your badge design

Pro Tip: If you click the close (X) button on the badge setup screen and find that buttons are unresponsive, we recommend refreshing your browser and trying to close the screen again.

Note: After creating and designing your badge, we recommend performing a test print to make sure your badge appears as expected. Click here to learn how to make a test print.

Select the Registration Option For Your Badge

  • Click the dropdown labeled Apply To

  • Select to apply this badge to all registration options, or select a specific registration option for this badge

Note: You can only create one unique badge design per registration option.

To exclude a specific registration option from a badge, start by creating a badge that applies to all registration options for general use. Then, create a separate badge design and apply it only to the registration option you want to exclude. Once this is done, the 'apply to all' badge will automatically exclude the registration option with the specific design.

Auto-Fill the Registrant's Name (and Other Data Your Registrants Add)

Using our Zebra feature, you can customize your badges and add variable fields that pull dynamic data, such as registrants' names, emails, and more. Here is how to auto-fill this data into your badge.

Warning: The QR code on your template cannot be restored once deleted. If you want to include a QR code on your badge, be sure not to remove it.

If you've already deleted the QR code and need it back, we recommend creating a new badge design.

Pro Tip: All text fields on your badge must either be linked to a data field on your page or set to Custom Text. If at least one text field isn't assigned, you won't be able to save your badge.

  • Select a text field, or add a new text field to the badge

  • On the right-hand side, the corresponding data field will be highlighted as a dotted blue line

  • Select the highlighted data field, and select the data you would like to include in the field. If desired, any other static text you would like to add to the field

  • If you would like to test how this data displays, scroll to the bottom of the right-hand column, and select the registrant you would like to add as sample data. This dropdown will populate with registrants who have signed up to attend your event

Rearrange and Move Fields on Your Badge

Move Your Field

  • Click on the field you want to move

  • Hold and drag the field to a new location on the badge

  • Release the mouse to set the field in its new position

  • Click and hold the refresh icon at the bottom of the field

Use Session IDs to Shorten Session Names on Badges

If long session names make your Zebra badges look crowded or misaligned, you can add Session IDs to create shorter, custom labels for your badges. You can display these IDs instead of (or alongside) the full session names to keep your badges clean and easy to read.

  • From the Pages tab, click the pencil icon under the page you want to edit

  • On the page builder, hover over the Sessions field you want to edit

  • Click the pencil icon on the Sessions field

  • Click Advanced Options near the bottom of the field

  • Toggle on Enable Session ID

  • For each session you want printed on Zebra badges, enter a Session ID for that session. Your Session ID can include letters, numbers, spaces, and special characters, with a maximum length of 10 characters

Pro Tip: The Session ID field is optional. If you don’t want a specific session to appear on Zebra badges, leave the Session ID blank for that session and it will not be printed.

Note: You can add a Session ID to a session at any time, even after accepting registrations. If a Session ID is added later, Zebra badges will still print the correct Session ID for all registrants who selected that session, including those who registered before the Session ID was added.

  • To display the Session ID on your Zebra badges, go to your Zebra badge

  • Select the text field where you want to add the Session ID, or add a new text field to the badge

  • On the right-hand side, the corresponding data field will be highlighted as a dotted blue line

  • Select the highlighted data field, and select the Session ID field from the dropdown menu

Pro Tip: When using the Session ID feature, Zebra badges will display only the sessions the registrant selected during registration.

Manage Your Badges

  • From the Pages screen, click the pencil icon under the page you want to edit

  • Hover your mouse over the Onsite tab in the top menu bar

  • Select Badge Printing from the dropdown

  • Find the badge you would like to manage, and click any of the following icons:

    • The page icon allows you to duplicate your badge

    • The pencil icon allows you to edit the badge

    • The trash can icon allows you to delete the badge

FAQs

What happens if a registrant's name is really long? How will their name look on the badge?

If a registrant's name is really long, the text will automatically shrink to fit the name on the badge. The text size will scale down so the full name remains visible on the badge.

Can I print my badges in color?

Right now, the Zebra printer only supports black and white printing. You can design your badge with color, but any colors will be converted to black and white when printed using the Zebra printer.

Why can't I save my badge?

A common reason why you cannot save your badge is that you have a text field that has not been assigned. In the badge designer, all text fields on your badge must be assigned to a field on your page or set to the "Custom Text" option. If you don't have an assigned field on at least one of your text fields, you will not be able to save your badge.

What is the cost for using the Zebra printer feature?

The badge printing feature in RegFox is included at no additional cost with RegFox Premium and Pro plans. However, your event is responsible for purchasing the required hardware and materials, such as Zebra badge printers, badge stock, and other printing supplies.

Event organizers must source compatible equipment and materials. To successfully use this feature, be sure all items meet the required specifications. Click here to view a list of compatible Zebra printers and badge stock.

When should I buy my Zebra printer and test it out to ensure that printing goes smoothly?

To ensure smooth printing on the day of your event, we recommend buying and testing your Zebra printer and badges early. This ensures you have enough time to test and troubleshoot.

  • 4 weeks before your event, we recommend order your Zebra printer and badges

  • Two weeks before your event, we recommend creating your badges and completing a test print

  • One week before your event, we recommend setting up your printer and printing your first badge
