Limit the Capacity for Your Event or Registration Options

Control overall event capacity or set limits for individual registration options to manage availability

Managing capacity is an important part of setting up your RegFox page. In RegFox, there are multiple ways to manage capacity at both the page and option level, giving you the flexibility to set up your registration page exactly the way you need. In this article, we’ll walk you through each method so you can confidently control how many registrations you sell.

Set Capacity Options

There are several different ways to set the capacity in RegFox.

  • Limit Capacity is used to limit the capacity of your entire Registration Options field. This is helpful when your event has a single overall capacity and you want to prevent overselling across all options combined.

  • Limited Supply is used to set capacity limits for a specific registration option. This is helpful when you want to control the availability of a specific registration option, such as a VIP registration option

Limit the Capacity for Your Entire Registration Options Field

The Limit Capacity option limits the number of registrations that can be sold across all registration options within the Registration Options field. Once the total number of registrations reaches the set Capacity Limit, no additional registrations can be sold, even if an individual registration option still has capacity. All Registration Options will display as sold out once this overall limit is reached.

  • From the Pages screen, click the pencil icon on the page you want to edit

  • Scroll to your Registration Options field, and click the pencil icon

  • Toggle the Limit Capacity field to Yes

  • Add your event's capacity

  • Click Done

  • Click Save Now in the upper-right corner of your page to save your changes. Click Publish to publish these changes to your live page

Pro Tip: In RegFox, you can limit the overall capacity of your event and set individual limits for specific registration options. When both are enabled, RegFox will enforce both limits.

For example, let's assume you are hosting an event, and your venue can only hold 800 people. You offer three registration options: General Admission, VIP, and Senior. Your General Admission and Senior registration options don't have individual limits, your VIP registration option is limited to 100 registrants. You want to ensure no more than 800 total registrants, while also capping VIP registrations at 100.

To do this in RegFox, first enable the Limit Capacity feature, and set the capacity to 800. This ensures you will will only sell up to 800 registrations. Then, scroll to the VIP registration option, and enable the Limited Supply feature. Set the supply to 100, which caps your VIP registrations at 100 (even if spots are still available for your event overall).


Set a Limited Supply for a Specific Option

The Limited Supply option allows you to limit the supply of a individual registration option. When an individual ticket level's supply limit is reached, it will display as sold out.

  • From the Pages screen, click the pencil icon on the page you want to edit

  • Scroll to your Registration Options field, and click the pencil icon

  • Scroll to the registration option you'd like to limit

  • Toggle the Limit Supply field to Yes

  • Set the supply for this option

  • If desired, show the remaining supply of your registration options (optional)

    • To turn on this feature, scroll to the bottom of the Registration Options field

    • Click Additional Options

    • Toggle the Show Remaining Supply toggle to Yes

  • Click Done

  • Click Save Now in the upper-right corner of your page to save your changes. Click Publish to publish these changes to your live page

Note: Event promoters will often enable the Show Remaining Supply option once the remaining supply begins dwindling. Showing the limited amount remaining helps drive urgency to purchase.

Yes, you can adjust the available capacity at any time by editing the event or option capacity, then saving and publishing your changes.

Yes, you can set a capacity at any time. In RegFox, the system will automatically include any sold registrations in the capacity you set.
