Customize your Event's Email Confirmations

Customize the confirmation emails that registrants receive after registering for your event, and even receive an email when people register

Written by Maddy

In RegFox, you can send registrants confirmation emails after they register for your event. You can also send registrants emails when they are added to a waitlist, when a registrant's final payment is received, or when a registrant's final payment is declined.

Use this feature to highlight important information to people who register for your event. You can also use our BCC feature to receive a confirmation email each time someone registers for your event.

Customize the Confirmation Email

When you enable the confirmation emails, our system will automatically send a confirmation email to a registrant when they complete their order.

Pro Tip: If you would like to send out a unique confirmation confirmation email to each of your registration options, you can do so by utilizing our Dynamic Emails feature. To learn more about how to use this feature, click here.

  • From the Pages screen, click the pencil icon on the page you want to edit

  • Go to the Emails tab, and select Confirmation

  • Toggle the Send a confirmation email button to yes

  • Customize the Confirmation Email as you would like

    • Subject line: the first line of the email that your registrants see

    • From name: the from name that your registrants see

    • Reply to email: the email that will receive any replies that your registrants send in response to the email

    • BCC email: an email that receives a copy of the confirmation email (optional)

  • Select the Copy Confirmation Page to Email checkbox if you would like to copy all information in the confirmation page to the confirmation email

  • If you would like to create a custom message, use the text field to customize the message, font, and other elements as desired

  • Click Save Now in the upper-right corner of your page to save your changes. Click Publish to publish these changes to your live page

Pro Tip: By turning on BCC Emails, the email(s) added to the BCC field will receive a copy of the confirmation email every time a registrant signs up for your event. This feature is particularly useful for administrators who want to keep track of registrations without manual effort, as it sends an automatic notification for each registration.

You can add multiple emails to receive these email notifications by separating each email by a comma.

Note: The ##registrants code automatically populates a summary of any registrant information into the confirmation email. This field will show the registrant(s) any information they selected upon registering for your event. The ##billing code automatically populates a summary of any billing information that was entered on the registration into the confirmation email.

Pro Tip: If your registration page does not require an email for each registrant, our system will send the confirmation email to the billing email entered on the order.

If your registration page requires an email for each registrant, our system will send a confirmation email to each registrant with their individual registration information. The system will also send an email to the billing email entered on the order with all of the registrations.

Customize the Cancellation Email

When a registration is canceled and a refund is issued, you can send a cancellation email to the registrant. You can customize the message that appears at the top of each cancellation email.

Pro Tip: If you leave the cancellation email message blank, this default message will be included at the top of every cancellation email:

"Your registration has been canceled. If a refund was issued, it will be returned to your original payment method and may take a few business days to appear."

  • From the Pages screen, click the pencil icon on the page you want to edit

  • Go to the Emails tab, and select Cancellation

  • Enter a custom message for your cancellation email, if desired

  • Click Save Now in the upper-right corner of your page to save your changes. Click Publish to publish these changes to your live page

Note: The Cancellation Email field sets the default message included in all cancellation emails. If needed, you can override this default by entering a custom cancellation message when canceling an individual registration.

FAQs

What is the purpose of the ##registrants and ##billing tags in the confirmation email?

The ##registrants and ##billing tags will automatically pull in a summary of the order and the billing (receipt) details to the confirmation email. They can be removed if you would prefer. If you would like to test how the confirmation email looks, we recommend utilizing the preview mode (using your real email) to create a test registration. Click here to learn how to use the preview mode.

Can I send a unique confirmation email to each of my registration options?

Yes, you can send out a unique confirmation confirmation email to each of your registration options by utilizing our Dynamic Emails feature. To learn more about how to use this feature, click here.

Can I add the registrant's name to the confirmation email?

Yes! Users can populate the registrant's first and last name in the confirmation email with the tags #firstname #lastname. These tags work on the confirmation email, the added to waitlist email, final payment received email, and final payment declined email.

Can I add the current date to the confirmation emails?

Right now, the current date cannot be populated to confirmation emails.

What is the Different Between the Reply To Email and the BCC Email?

If a registrant replies to their confirmation, their response will go to the email address listed in the Reply To email field.

Any email addresses listed in the BCC Email field will receive a copy of the confirmation each time your registrant receives a confirmation email for your event. The registrants will not see or reply to the BCC email — any BCC emails are simply Blind Carbon Copied on registration confirmation emails. This is an optional field, and users can add multiple BCC emails if desired.

How can I test how the confirmation email looks?

We recommend using the Preview mode to test how your confirmation email will appear to your registrants. To test using the preview mode, click the Preview button in the top right corner of your RegFox Edit page.

The Preview mode launches a test page in a new tab, and doesn't store any data or process any real transactions. For this reason, it is a great way to test the visual experience of your page.

What emails receive a confirmation email?

If your registration page does not require an email address for each registrant, RegFox will:

  • Send the confirmation email only to the billing email entered on the order. The billing contact will receive all registrant and confirmation details for the order.

If your registration page requires an email address for each registrant, RegFox will:

  • Send a confirmation email to the billing email entered on the order. The billing contact will receive all registrations for the order along with the full confirmation information

  • Send an individual confirmation email to each registrant, including their registration and any individual registrant details

What email is used as the default Reply-To email on my confirmation emails?

Your organization’s email address is used as the default Reply-To email address for new pages. Changing your organization’s email address updates the default for pages you create going forward, but does not update existing pages. You can change the Reply-To email address for an individual page’s confirmation emails at any time.

Here's how to update your organization email address:

  • Hover your mouse over the Gear icon in the upper-right-hand corner of your account

  • Select Organization Details from the dropdown menu

  • Click the Edit Settings button

  • Edit the email in the Email field

  • Click the Save button

How can I help prevent confirmation emails from going to a registrant's spam folder?

While no email provider can guarantee inbox placement, you can improve deliverability by following these best practices:

  • Keep your subject line simple. Avoid using emojis, excessive punctuation (such as multiple exclamation points), or all capital letters, as these can increase the likelihood of emails being filtered as spam

  • Keep the email content clean and concise. Avoid excessive use of bold text, colored fonts, large images, or multiple links, which can trigger spam filters

  • Include your event or organization name. Make it clear who the email is from. This helps recipients recognize the message and may encourage them to trust it

  • Ask registrants to check their spam or junk folder. If they find the confirmation email there, they can mark it as Not Spam or add your sending address to their contacts to help ensure future emails are delivered to their inbox

Note: Inbox placement is ultimately determined by the recipient's email provider and account settings. Even when you follow email deliverability best practices, factors such as the recipient's spam filters, personal email settings, and previous interactions with your emails can affect where your message is delivered. If a recipient reports that your emails are going to spam, ask them to add your sending address to their contacts or safe sender list. Personal spam reports or blocks applied by the recipient can't be reversed from your side.

Why am I seeing the error "Page Save Error: Form: Settings Size Limit is 65535"?

This error means the combined content of your confirmation page and confirmation emails has exceeded the maximum size limit of 64 KB (65,535 bytes).

The 64 KB limit applies to all of the following:

  • Confirmation page

  • Confirmation email

  • Cancellation email

  • Added to Waitlist email

  • Final Payment Received email

  • Final Payment Declined email

  • Reminder emails

If the total content across these areas exceeds the limit, you'll see an error message when you try to save your changes. To resolve the error, reduce the amount of content by removing unnecessary text, HTML, images, or formatting until the total size is below the 64 KB limit.

Note: Copying and pasting content from another application can introduce hidden HTML and formatting that increases the size of your confirmation content. If you're copying text from another platform, we recommend running it through an HTML stripper or pasting it as plain text before adding this text to RegFox. This can help reduce the overall content size and prevent size limit errors.

Can I add a link, image, or file to my confirmation email?

Yes. Use the following icons in the confirmation email editor’s menu bar to add your content:

  • Link Icon: Add a link

  • Image Icon: Add an image

  • Paper Icon: Upload a file
