Create Coupons and Global Coupons in RegFox

Add discount codes or free registrations for a RegFox page or your entire account. Customize coupons with usage limits and expiration dates

Coupons are a powerful way to offer special pricing, drive registrations, and reward specific groups of people. Whether you want to provide a discount or offer a free registration, coupons give you the flexibility to do it.

In RegFox, you can create coupons that apply to a single page or use global coupons that work across every page in your account. You can also set usage limits, expiration dates, and target specific fields to control exactly which fields are discounted.

Pro Tip: There are multiple types of coupons you can set up in RegFox.

  • Coupons set up in the Page Builder apply to the specific RegFox page where you create the coupon.

  • Global Coupons are valid across all RegFox pages in your account, allowing registrants to use them on any event page you've set up

Add a Coupon Code Field to Your RegFox Page

Most standard RegFox templates include a Coupon Code field by default. But if your page doesn’t have one yet, here’s how to add and customize it!

Pro Tip: RegFox only applies discounts to fields that appear above the coupon code field on your page. If a financial field is placed below the coupon field, it won't be affected by the discount.

We recommend placing your coupon code field below any fields you want to target with a discount.

  • From the Pages screen, click the pencil icon on the page you want to edit

  • Hover over your page, and click the green + icon where you want to add the field

  • Add the Coupon Code field

  • Toggle the Required field to Yes or No

  • Click Advanced Settings if you would like to further customize the field

    • Coupon Code Placeholder: add placeholder text that appears before registrants enter their coupon code

    • "Apply" Button Text: customize the button text that appears to the right of the coupon code field

    • Invalid Code Notice: customize the text that appears to the right of the coupon code field when a registrant enters an invalid coupon code

    • Custom Validation: add an additional set of validation rules to your coupon code field. When this field is toggled to Yes, RegFox will require the registrant to meet these custom criteria and enter a valid coupon created in the Coupons tab

  • Click Done

  • Click Save Now in the upper-right corner of your page to save your changes. Click Publish to publish these changes to your live page


Create a Coupon That Applies to One RegFox Page

In RegFox, you can create page-specific coupons that apply to just one RegFox page.

When creating coupons, you can create coupon codes individually, or import a series of coupons that have the same discount and settings. Learn how to do both options below.

If you want a coupon that works across all your pages, you can create a global coupon.

Create a Coupon Individually

  • From the Pages screen, click the pencil icon under the page you want to edit

  • Go to the Coupons tab

  • Click Create a New Coupon, or click New Coupon in the upper-right corner if you already have coupons on the page

Note: Coupon codes are not case sensitive. Coupons can include numbers, letters or characters.

  • Customize your coupon

    • Description: Add a descriptor that will quickly and easily identify what your coupon code is for. This is for internal use and reference only. For example: Member Discount

    • Code: Type the coupon code that registrants will enter at checkout. For example: membersrule123

    • Discount: Set the discount for your coupon. This can be either a dollar amount or percentage. For example, you can create a $5 or 15% coupon

    • Usage Limit: Enter the number of times the coupon can be used. If this field remains blank, it can be used an unlimited number of times

  • Click the Save icon to save your coupon

Pro Tip: In RegFox, the usage limits limits the number total of registrants who can use a specific coupon code across all orders. For example, if you set the usage limit to 1, the coupon can only be applied to one registrant total across all orders.

It’s important to note that coupon codes are applied per registrant, not per order. Because of this, if you have enabled Group Registration and a buyer registers multiple people in a single transaction, the coupon can be used for each registrant on the order. RegFox does not allow you to restrict how many times a buyer can apply a coupon code within a single order. Usage limits only limit how many times a specific coupon can be used overall.

If you are using our Group Registration feature, keep in mind that coupon values do not carry over between registrants. For example, if someone registers two people for a $100 registration and applies a $150 coupon to one of the registrants, they will receive only a $100 discount. One registrant will be discounted to $0, and the second registrant will still be charged the full $100.

Note: If a buyer tries to apply a coupon code to more registrants than the usage limit allows, they won’t be able to complete the order. An error will appear until they remove the code from enough registrants to bring the total back within the limit.

  • Click the Gear icon if you would like to include additional options for your coupon

    • Expiration Date - Set an expiration date and time for your coupon code. If someone tries to use a coupon code after it has expired, they will see an error message

    • Move To Global: This button will turn your coupon code into a Global Coupon. Global Coupons can be used on every published page on your RegFox account. NOTE: Turning a coupon into a global coupon is permanent and cannot be undone, so make sure you want to proceed before clicking and saving this action

    • Apply Coupon on Deposits: If you're using our Deposits feature, choose how the coupon is applied on deposit payments.

      • On Remaining Balance Only: The coupon will only apply the discount to the final payment, not the initial deposit

      • Proportionally to Both Deposit and Final Balance: The coupon will be split proportionally between the deposit and final payment, so the registrant receives a discount on both

    • Apply Discount to Only These Fields: This field allows you to restrict the coupon discount to to specific field(s). You can choose one more fields to receive the discount. NOTE: this option will only appear after you add a discount to your coupon

  • Click the Save icon to save your coupon

Import a Series or List of Coupons

You can quickly import a series or list of coupons into RegFox that share the same discount amount, usage limits, and other settings.

Note: You can use a service like Voucherify to create a batch of unique codes.

Pro Tip: You can import up to 1500 unique codes with the Import a Series feature.

To add more than 1500 coupon codes, we recommend creating a new coupon code, and importing the rest of the codes in a separate series of coupons.

  • From the Pages screen, click the pencil icon under the page you want to edit

  • Go to the Coupons tab

  • Click Create a New Coupon, or click New Coupon in the upper-right corner if you already have coupons on the page

  • Select the Import a Series checkbox (this will open up the Code field to have a large input box)

  • Add one coupon code per line. Each coupon code will have the same discount, usage limit, and settings

  • Discount: Set the discount for your coupon. This can be either a dollar amount or percentage. For example, you can create a $5 or 15% coupon

  • Usage Limit: Enter the number of times the coupon can be used. If this field remains blank, it can be used an unlimited number of times

Create a Global Coupon

In RegFox, you can create coupons that apply to every RegFox page on your account. If you want to create a coupon that only applies to a specific page, you can also create standard coupons.

  • From the top menu bar, hover over the Reports tab

  • Select Global Coupons from the dropdown

  • Select Add Coupon in the top right corner

NOTE: Coupon codes are not case sensitive. Coupons can include numbers, letters or characters.

  • Customize your coupon

    • Description: Add a descriptor that will quickly and easily identify what your coupon code is for. This is for internal use and reference only. For example: Member Discount

    • Code: Type the coupon code that registrants will enter at checkout. For example: membersrule123

    • Discount: Set the discount and currency for your coupon. This can be either a dollar amount or percentage. For example, you can create a $5 or 15% coupon

    • Usage Limit: Enter the number of times the coupon can be used if desired. If you don't add a usage limit, the coupon can be used an unlimited number of times

  • Additional Settings (optional)

    • Expiration Date - Set an expiration date and time for your coupon code. If someone tries to use a coupon code after it has expired, they will see an error message

    • Apply Coupon on Deposits: If you're using our Deposits feature, choose how the coupon is applied on deposit payments.

      • On Remaining Balance Only: The coupon will only apply the discount to the final payment, not the initial deposit

      • Proportionally to Both Deposit and Final Balance: The coupon will be split proportionally between the deposit and final payment, so the registrant receives a discount on both

  • Click the Save icon to save your coupon


Manage Your Coupons

You can view and manage your Coupons and Global Coupons at any point. Here is how to manage both types of coupons in RegFox.

Manage Your Coupons

  • From the Pages screen, click the pencil icon under the page you want to edit

  • Go to the Coupons tab

  • Manage your Coupon as desired

    • Click the pencil icon to edit the coupon

    • Click the trash can icon to delete the coupon

    • Click Export Your Coupons to download a list of your coupons for this page

Note: Once a coupon has been redeemed, you can no longer delete the coupon from RegFox.

If a coupon has already been used and you want to prevent it from being used again, we recommend setting this coupon's expiration date to a past date.

Manage Your Global Coupons

  • From the top menu bar, hover over the Reports tab

  • Select Global Coupons from the dropdown

  • Find your Global Coupon

Pro Tip: You can locate a global coupon by searching its description or code. You can also filter your global coupons to show only active or expired coupons.

  • Manage your Coupon as desired

    • Click the pencil icon to edit the global coupon

    • Click the trash can icon to delete the global coupon

    • Click Download Coupons to download a list of all your global coupons

Note: Once a global coupon has been redeemed, you can no longer delete the coupon from RegFox.

If a global coupon has already been used and you want to prevent it from being used again, we recommend setting this coupon's expiration date to a past date.


Registrant Experience

When a registrant goes to your registration page, they can enter their coupon in the Coupon Code field. If their coupon is invalid, it will show them an Invalid Code message.

If their code is valid, the coupon will automatically be applied to their registration.


FAQs

Are coupons case-sensitive?

Coupon codes are not case sensitive. If you enter a code using uppercase letters, the system will automatically convert them to lowercase.

Can I track who uses my coupons?

Yes, you can use Reports to track who uses your coupons. If you would like to see a summary of how many times a coupon has been used, we recommend using a Coupons Report. If you would like to see the specific registrants who have used your coupon, we recommend using a Registrant Data Report.

Can I use the same coupon code for multiple events?

You can convert any coupon into a global coupon, allowing it to be used across all your pages. Keep in mind that this change is permanent and cannot be reversed.

Can I use coupons to manually register someone for my event or transfer a registration to a different RegFox event page?

Yes! If you need to manually register someone at no cost, a coupon code is a simple solution. In this case, we recommend creating an 100% coupon to cover the entire cost of the registration, and then manually completing the registration on the registrant's behalf.

If you have turned on confirmation emails, the registrant will receive a confirmation email after you submit the order. This confirmation email will show that they received a discount, but will not show the actual coupon code used to register for the event.

My registrant is trying to submit an order with a coupon code, and are unable to register. They see the error "Oops... could not redeem coupon code." What is causing this error?

This error can appear for several reasons, but a common reason is that the registrant used a coupon code for multiple registrants, and exceeded that coupon's usage limit.

On RegFox, usage limits control how many total total registrants can use a specific coupon code across all orders. For example, if the limit is set to 1, only one registrant can use that coupon. If a registrant tries to apply a coupon to more registrants than the coupon's usage limit, they will see this error and won't be able to check out.

To resolve this, we recommend either increasing the usage limit to accommodate all registrants in the order, or ask the registrant to remove the coupon code from some of their individuals in their group.

If I make a global coupon, can I later revert it back to a traditional coupon?

No. Once a coupon has been turned into a global coupon, you cannot revert the coupon back into a traditional coupon.

If you do not want a specific coupon to be valid across all pages in your account, we recommend setting the expiration date to past date so registrants can no longer use this coupon moving forward.

Where can a customer use a global coupon?

On RegFox, global coupons can be successfully used on every RegFox page on your account. Registrants apply global coupons in the Coupon Code field on your page.

Why do I need to select a currency for a global coupon?

Global Coupons can only be used on pages that process in the same currency. For example, a global coupon created in USD is only valid for RegFox pages processing in USD. If you have pages in different currencies, we recommend creating separate coupons for each currency you'd like to support.

What time zone is used for a global coupon's expiration date and time?

The expiration time is based on the time zone set in your account’s Organizational Details. You can view or update this time zone in your account settings.

  • From the Pages screen, hover over the Gear icon

  • Select Organization Details

  • Click Edit Settings

  • In the Time Zone field, update the time zone as desired

  • Click Save

Why isn’t my coupon applying to the field, even though the code is correct?

RegFox only applies discounts to fields that appear above the coupon code field on your page. If a financial field is placed below the coupon field, it won't be affected by the discount.

We recommend placing your coupon code field below any fields you want to target with a discount.

When I am creating my coupon, why don't I see the option to apply a discount to only specific fields?

The option to apply a discount to only specific fields will only appear after a discount is entered. If you do not see this option, we recommend adding a discount amount to your coupon, and then limiting the fields to which the coupon applies.

Why am I seeing an error when I try to create a coupon or global coupon? I am seeing the error "Coupon code is a global product coupon and cannot be assigned to a form" or "Code already exists on page XXXXXX."

A common reason for this error is that the coupon code you're trying to use has already been assigned to a global coupon or this coupon already in use on another page.

In RegFox, every coupon code that is valid on a single page must be unique. Here is what this means:

  • If a code is being used for a global coupon, this code cannot be reused as a standard coupon

  • If a coupon code is already in use for a standard coupon, this code cannot be used for a global coupon

If you experience this error, we recommend changing your coupon code to something unique to save your coupon.

Can a registrant use my RegFox global coupon on a TicketSpice or RedPodium page?

Global coupons are managed separately in RegFox, TicketSpice, and RedPodium. This means that a global coupon created in RegFox will only apply to your RegFox pages. This coupon won't carry over to TicketSpice or RedPodium.

If you would like the same coupon to apply to your TicketSpice or RedPodium pages, we recommend going to your TicketSpice or RedPodium account, and creating the same global coupon in your TicketSpice and/or RedPodium account.

Is it possible to set up a “Buy One, Get One” (BOGO) coupon or a coupon that only applies to every 2nd, 3rd, or 4th registrant in RegFox?

To set up a BOGO coupon or create a coupon that only applies to the 2nd, 3rd, or 4th registrant, we recommend using Coupons and Actions together. Here is how to set up a BOGO coupon with Coupons and Actions.

  • From the Pages screen, click the pencil icon under the page you want to edit

  • Go to the Coupons tab

  • Click Create a New Coupon, or click New Coupon in the upper-right corner if you already have coupons on the page

  • Add a description and code for your coupon

  • In the Discount field, enter $0 (We'll be using Actions to apply the actual discount later, so setting the discount to $0 in Coupons ensures that the discount doesn't get applied more than once)

  • Click the Save icon to save your coupon

  • Go to the Actions tab

  • Click Create Your First Action, or click the + icon on your action if you already have actions on your page

  • On the left-hand side, select Coupon Code from the dropdown

  • Select Value is Exactly from the list of options, and enter the correct coupon code in the text field

  • Click the + button to add another trigger

  • On the left-hand side, select Specific Registrant from the dropdown

  • Select Is from the list of options

  • In the text field, add the registrant you want to receive a discount. For example, if you want to give the second registrant the discount, enter 2 to 2 in the text fields

  • Click the All of These Must be True checkbox. This ensures that both conditions must be met in order to apply your discount

Pro Tip: If you’d like the BOGO coupon to apply to multiple registrants, we suggest creating a separate action for each one. For instance, to give a 100% discount to the 2nd, 4th, and 6th registrants, you’ll want to duplicate the action and adjust the Specific Registrant trigger for each. Set the first action to target the Specific Registrant “2 to 2,” the second to the Registrant “4 to 4,” and the third to the Registrant “6 to 6.”

  • On the right-hand side, select your price change action. We recommend using the Decrease Price or Apply Discount actions to provide a discount

  • Choose whether you want to adjust the price by $ or %, and add your discount in the text field

  • Choose the Field(s) where you want to adjust the price

  • Click Save Action

  • Click Save Now in the upper-right corner of your page to save your changes. Click Publish to publish these changes to your live page
