You can use Contact Tagging to quickly and easily organize your contacts in RegFox by adding custom labels to your contacts. Whether you’re tagging based on location, purchase history, volunteer status, or a past import, tags let you manage your RegFox contacts and registrants. Additionally, you can use Contact Tagging to send tailored messages to specific groups of contacts instead of sending one-size-fits-all emails.

In this article, you’ll learn how to create tags and assign them to your contacts for more personalized and effective communication.

Create A Tag

In RegFox, tags help you organize and segment your contacts with ease. You can create manual tags, which allow you to add contacts manually, or auto tags, which apply to contacts automatically when they meet specific criteria you define.

Create a Manual Tag

  • From the top menu bar, select the Contacts tab

  • From the left-hand dropdown, select the Tags tab

  • Click Manage Tags

  • Click Create Tag

  • Enter Your Tag Name

  • Select Manual Tag

  • Click Create

Pro Tip: You can add letters, numbers, dashes, and underscores in a tag name.

Tag names cannot include spaces, symbols, or repeated dashes or underscores. Additionally, tags cannot begin or end with a dash or underscore. If you try to create a tag using an invalid character, the tag will appear in red, and you’ll be prompted to adjust the tag name to meet the formatting requirements.

Create an Auto Tag

Pro Tip: When you create an auto tag, RegFox will only apply this tag to contacts who place a new order and meet the criteria after the auto tag is created.

For existing contacts who already meet the criteria, the tag will not be applied retroactively. These contacts will only receive the auto tag when they submit a new order.

Note: With auto-tags, RegFox will automatically remove a tag from a contact if they no longer meet the criteria. For example, if a contact cancels an order and this causes the contact to not meet the criteria, the auto-tag will be removed from their contact profile automatically.

  • From the top menu bar, select the Contacts tab

  • From the left-hand dropdown, select the Tags tab

  • Click Manage Tags

  • Click Create Tag

  • Enter Your Tag Name

  • Select Auto Tag

Pro Tip: You can add letters, numbers, dashes, and underscores in a tag name.

Tag names cannot include spaces, symbols, or repeated dashes or underscores. Additionally, tags cannot begin or end with a dash or underscore. If you try to create a tag using an invalid character, the tag will appear in red, and you’ll be prompted to adjust the tag name to meet the formatting requirements.

  • Select your Tag Rule

    • Repeat Customers: This tag automatically assigns customers based on the number of unique orders they've placed in TicketSpice. You can filter for customers who have placed at least, at most, or between a specific number of orders

    • Total Spend: This tag automatically assigns customers based on the total they have spent at your event(s). You can filter for customers who have placed at least, at most, or between a specific amount. Note: The Total Spend filter only works for orders placed in USD. Orders placed in other currencies won't be applied to this filter

  • Click Create

  • Click Confirm to confirm that you are done making changes

Note: Tagging starts as soon as a customer reaches the number of orders or spending amount you specify.

For example, if you set the filter to “more than 5 orders,” the customer will be tagged when they place their 5th order. Similarly, if you set the filter to “more than $100 total spend,” the customer will be tagged once they have spent $100 or more.

Pro Tip: The Repeat Customer rule assigns tags based on the number of orders a contact has placed in TicketSpice. Orders from RegFox, RedPodium, or GivingFuel are not included.

The Total Spend rule assigned tags based on a contact's combined spending across TicketSpice, RegFox, RedPodium, and GivingFuel.

Filter by Tags and Manage Your Tags

In RegFox, you can edit or remove tags at any time to keep your list up to date. You can also quickly filter contacts by tag to view everyone associated with a specific tag.

Manage Your Tags

You can edit and manage tags for both manual tags and auto tags.

Manage Manual Tags

Pro Tip: When managing your tags, you can use the search bar to search for a specific tag. In the Manage Tags screen, you can quickly see the name of the tag, the number of contacts connected to a specific tag, and the tag type.

You can click the contact count to view all contacts assigned to that tag.

  • From the top menu bar, select the Contacts tab

  • From the left-hand dropdown, select the Tags tab

  • Click Manage Tags

  • Click the pencil icon to edit a tag's name

  • Click the trash can icon to delete a tag

Manage Auto Tags

Pro Tip: When managing your tags, you can use the search bar to search for a specific tag. In the Manage Tags screen, you can quickly see the name of the tag, the number of contacts connected to a specific tag, the status, and the tag type.

You can click the contact count to view all contacts assigned to that tag.

Note: In RegFox, you can only edit the name of an auto tag after it’s created. If you need to change the auto-tag rule itself, we recommend deleting the existing tag and creating a new one.

  • From the top menu bar, select the Contacts tab

  • From the left-hand dropdown, select the Tags tab

  • Click Manage Tags

  • Click the pencil icon to edit a tag's name

  • Click the status toggle to edit the status of the auto-tag. When a tag is set to Active, RegFox will automatically apply the tag to any contacts who meet the criteria moving forward. When set to Inactive, the tag will remain on contacts who already have it, but RegFox will not apply it to any new contacts who meet the criteria

  • Click the trash can icon to delete a tag. This will delete the tag and remove it from any contacts who previously had this tag

Filter Your Contacts by Tag(s)

  • From the top menu bar, select the Contacts tab

  • From the left-hand dropdown, select the Tags tab

  • Click the search bar, and select one or more tags. The Contacts screen will only display contacts with the tag(s) you selected

Assign a Tag to Your Contact(s)

In RegFox, you can quickly assign manual tags to your contacts. You can assign a tag to one contact at a time, or assign tags to multiple contacts. If you would like to tag one contact, we recommend tagging the contact from the contact's profile page. If you want to tag multiple contacts at once, we recommend tagging the contacts from the Contacts page.

Note: Tags can only be manually assigned when using manual tags. For auto tags, RegFox will automatically apply the tag to a contact once they meet the defined criteria.

Assign a Tag from the Individuals' Contact Profile

  • From the top menu bar, select the Contacts tab

  • Search for the contact's name or email in the search box

  • Click the eye icon next to the contact you want to cancel

  • Click Add Tags

  • Select one or more tags to add to the contact

  • Click Save

Assign a Tag from the Contacts Screen

  • From the top menu bar, select the Contacts tab

  • Click the checkbox next to the contacts that you want to add tags to, or click the Complete All checkbox next to the Names field to add a tag to all contacts

  • Select Tag Selected Contacts

  • Select one or more tags to add to the contact

  • Click Save
