Create Certificates for Training Programs, Conferences, and Continuing Education Units (CEUs) that take place in person

In RegFox, you can now issue certificates for in-person events! You can choose to give certificates to people who attend your entire event, or specific sessions. With RegFox, you can now seamlessly create customizable, professional-grade certificates and automatically issue them via email, ensuring personalized and accurate data for each registrant based on their registration details and attendance.

Example Use Cases

  • Training Programs: Provide certificates to individuals who attend all sessions of your training course, offering proof of their successful completion

  • Conferences and Seminars: Reward registrants with certificates for attending keynotes or breakout sessions, enhancing the perceived value of the event and giving participants a tangible reminder of their engagement

  • Workshops and Certifications: Issue certificates to individuals who complete specialized workshops or exams, signifying their proficiency in a particular area, such as first aid, technical skills, or industry-specific certifications

  • Continuing Education Units (CEUs): Issue certificates to attendees who complete specific workshops or sessions, allowing them to track their professional development and earn CEUs required for licensure or certification

  • Event Participation Recognition: For conferences, expos, or fundraisers, offer certificates to acknowledge attendee participation or volunteer efforts, creating a sense of accomplishment and strengthening relationships

Getting Started

  • From the Pages screen, hover over the Extras tab in the top menu bar

  • Select Certificates

  • On the left-hand side, select Certificates


Create Your Certificate

Warning: If you use our multi-reg option, we strongly recommend adding both a Name and Email field to the registration section of your page. Without names for each registrant, our system will populate the billing name for each registrant in the order on the certificates.

Without individual emails for each registrant, our system will not send a certificate to the registrants on a multi-reg order. They will be skipped when the certificates are issued.

  • Click Create Certificate

  • Create the Certificate Reference Name - this is for internal and reporting purposes only

  • Select the Page on which you would like to create a certificate

  • Click Check-in registrants only if you would like to only give certificates to people who have checked in through the RegFox check in app

Pro Tip: If you use the Check-In Registrants only option, registrants must be checked in when the certificate is used. If a registrant checks into the event but later checks out, they will not be sent a certificate with this option checked.

  • Click Add Filter if you would like to filter by registration options or sessions

    • Registration Options: this filter allows you to only send certificates to individuals who have selected a specific registration option. This filter excludes any registrants who are not on your selected registration options.

    • Sessions: this filter allows you to only send certificates to individuals who attend a particular session. Instead of issuing certificates for the event as a whole, this option issues certificates per session that someone attends. When this option is selected, individuals who attend multiple sessions will receive multiple certificates. They will receive one email with multiple download buttons for each of the sessions they attended

  • Select Continue

Warning: Filtering is only available for Registration Options fields and Sessions fields. Filtering is not available for Multiple Choice fields.

Note: If a Registration Options filter and a Sessions filter are added to the same certificate, our system will only send certificates to people who selected the Registration Option(s) you select AND the Sessions option(s) you select.

If you have multiple Registration Options fields or multiple Sessions fields on your page, the filtering works differently. If you add a filter for multiple Registration Options fields on your page, our system will send certificates to people who select either the Registration Option(s) you select on Field #1 OR Field #2.

For example, assume you have one Sessions field with the an option to attend either "Sustainable Soil Management" or "Smart Irrigation Practices". You have a second Sessions field with the options to attend either "Crop Rotation for Better Harvests" or "Innovative Pest Control Methods".

In this example, if you attended a filter on the first Sessions field to include "Sustainable Soil Management", and a filter on the second Sessions field to include "Innovative Pest Control Methods," our system will by default send to any individual who attended either "Sustainable Soil Management" OR "Innovative Pest Control Methods."


Design your Certificate

Choose Your Template

  • Select Landscape or Portrait to change the orientation of your certificate

  • Choose a Template you would like, or select the Blank template if you would like to start from scratch

From this page, customize your certificate as desired. Click Save & Close when you have customized your certificate as desired.

Rearrange and Move Fields on your Certificate

Move Your Field

  • Click on the field you want to move

  • Hold and drag the field to a new location on the certificate

  • Release the mouse to set the field in its new position

Change the Angle of Your Field

  • Click on the field on which you want to change the angle

  • Click and hold the refresh icon at the bottom of the field

  • Move your mouse in the direction where you want the field to be angled

  • Release the mouse to set the field at its new angle

Add and Edit a Text Field

Add a Text Field

  • In the Design module, click the Text icon on the left-hand side

  • Select Add Header, Add Subheading, Add Lines of Text, or Add Bullet Points

  • Click on the text field that appears, and position the text field in the desired location

Edit a Text Field

  • Click the text field you want to edit

  • From there, edit your text field as desired

Text Settings in the Menu Bar Above the Text Field

  • Align: align your text field to the left, center, or right edge of the paragraph field

  • Bold: bold the text

  • Italicize: place your text in italics

  • Underline: underline all of the text

  • Capital: place all of your text in capital letters

  • Drop Shadow: add a shadow to your text. When this option is turned on, customize the color, distance, direction, blur, and transparency of the shadow in the side menu as desired

  • Curve: add a curve to your text. When this option is turned on, change the curve as desired in the sider bar, or select one of the curve options

  • Clone: add a copy of the text field to your certificate again

  • Delete: delete the text field from your certificate

Text Settings in the Side Menu Bar

  • Fill: change the color of your text

    • Click the color block square to edit the color

    • Choose Solid or Gradient

    • From there, enter a color hex, select the desired color from the color wheel, or choose from one of the default colors

  • Border Color: add a border color around your text

    • Stroke: click the color block square to add a border color, and select the desired color

    • Weight: select the weight of the color border you would like. The larger the weight, the thicker your border color will be

    • Corner: select if you would like the corners of the border text to be straight or rounded

    • Align: turn on the button if you would like reduce the thickness of the border when the border is applied to the outer edge of the object

  • Font: adjust the font of the text field

    • Click the Font field

    • From there, select a font by searching for a font, typing a word to preview all fonts, adding your own font, or finding a font from the list of options

  • Font Size: use the slider or select a font size to customize the text size

  • Arrange: control the stacking order of the text field on your certificate.

    • Send to Front moves a text field all the way to the top of the stack, placing it in front of all other layers on the certificate

    • Send to Back moves a text field all the way to the bottom of the stack, placing it behind all other layers on the certificate

    • Send Forward moves the text field one layer forward at a time, positioning it ahead of one layer (but not necessarily all the way to the front)

    • Send Backward moves the text field one layer backward at a time, positioning it behind just one layer (but not necessarily all the way to the back)

  • Align to Canvas: quickly align the text field to different locations on the certificate

  • Anchor: change if you would like the text box to anchor at the text field's top point, the middle point, or the low point

  • Transparency: set how see-through a text field is. A text field with 0% transparency is invisible, while a text field with 100% transparency shows the standard text color

  • Letter Spacing: adjust the spacing between each letter in the text field

  • Line Spacing: adjust the spacing between each line in the text field (if there are multiple lines of text)

  • Drop Shadow: add a shadow to your text

    • Use the slider bar to customize the amount of shadow on your text

    • Click the Gear icon to edit the settings

      • Color: edit the color of the drop shadow

      • Direction: edit the direction that the shadow is facing

      • Blur: edit the amount of blur present on the shadow

      • Transparency: edit the transparency of the shadow

      • Click Reset to reset to the original settings

      • Click Remove to remove the drop shadow

  • Curve: make your text field curved

    • Use the slider bar to adjust the curve on your text

    • Click the Gear icon

      • Use the slider bar to adjust the curve, or select one of the pre-designed options

      • Click Remove to remove the curve on the text field

  • Highlight: fill in the text field with a fill color

    • Use the slider bar to choose how far you would like to fill color to extend

    • Click the Gear icon to edit the settings

      • Highlight: Choose how you would like the highlighted color to display. Fill extends the highlighted color to the entire text field, while Fit displays the highlighted color around just the text

      • Fill: Click the color block square to edit the color. From there, enter a color hex, select the desired color from the color wheel, or choose from one of the default colors

      • Stroke: add a border around the highlight fill color. Select the color block square to choose a color. Adjust the weight to change the thickness of the border

      • Horizontal and Vertical: Adjust how far the highlighted fill color extends

      • Roundness: Adjust the roundness of the corners of your highlighted fill color

      • Transparency: set how see-through the fill color is. A highlighted fill color with 0% transparency is invisible, while a fill color with 100% transparency shows the standard color

      • Click Remove to remove the highlight

Auto-Fill First and Last Name (and other Data Your Registrants Added)

Using our Certificates feature, users can customize the certificate and add variable fields that pull dynamic data, such as registrants' names, emails, the sessions they attended, and more. Here is how to auto-fill this data into your certificate.

  • Select a text field, or add a new text field to the certificate

  • On the right-hand side, the corresponding data field will be highlighted as a dotted blue line

  • Select the highlighted data field, and select the data you would like to include in the field. If desired, any other static text you would like to add to the field

  • If you would like to test how this data displays, scroll to the bottom of the right-hand column, and select the registrant you would like to add as sample data. This dropdown will populate with registrants who have signed up to attend your event.

Add and Edit an Image

Add an Image

  • In the Design module, click the Images icon on the left-hand side

  • Select Upload, Pexels, Pixabay, or Iconfinder

    • Upload allows you to upload an image from your computer. To add the image, select the image you would like to add, and click Open

    • Pexels is a free stock photo and video website. To add the image, hover over the image and click Add in the top right corner. To set the image as your background, hover over the image, and click Set as Background in the top right corner

    • Pixabay is a free stock photography website. To add the image, hover over the image and click Add in the top right corner. To set the image as your background, hover over the image, and click Set as Background in the top right corner

    • Iconfinder is a tool that allows you to search and use common icons. To add the icon, hover over the icon and click Add in the top right corner

Edit An Image

  • Click the Image you want to edit

  • Make your desired edits

  • Crop: crop the image

  • Clone: add a copy of the image to your certificate again

  • Flip Horizontal: flip your image horizontally

  • Flip Vertical: flip your image vertically

  • Delete: delete the image from your certificate

  • Resize: resize the image proportionally. If you wish to change the proportions of the image, we recommend first cropping your image

  • Arrange: control the stacking order of the image on your certificate.

    • Send to Front moves an image all the way to the top of the stack, placing it in front of all other layers on the certificate

    • Send to Back moves an image all the way to the bottom of the stack, placing it behind all other layers on the certificate

    • Send Forward moves the image one layer forward at a time, positioning it ahead of one layer (but not necessarily all the way to the front)

    • Send Backward moves the image one layer backward at a time, positioning it behind just one layer (but not necessarily all the way to the back)

  • Align to Canvas: quickly align the image to different locations on the certificate

  • Transparency: set how see-through an image is. A 0% transparency is fully invisible, while an 100% transparency shows the standard colors of the image

  • Color Overlay: overlay the image with a color of your choice

    • Click the color block square to edit the color, and select the color you would like

    • Adjust the sliders to adjust the intensity of the overlay on the image

  • Exposure: control the overall lightness and darkness of the image (affects both highlights and shadows)

  • Brightness: control the lightness of the image (affects lightness but not necessarily the shadows and highlights)

  • Contrast: control the distinction between light and dark areas of the image

  • Saturation: adjust the intensity of colors in the image

  • Vibrance: increase the intensity of less saturated colors without affecting the already vivid ones

  • Hue: shift the overall color tone of the image

  • Blur: control the sharpness, making the image appear more or less focused

  • Reset: reset the image to its original settings (this will not affect the size or crop of the image, the arrange settings, or the align to canvas settings)

Customize the Background

Add a Background

  • In the Design module, click the Background icon on the left-hand side

  • Select Color or Photo

    • Color

      • Click the color block square to edit the color

      • Choose Solid or Gradient

      • From there, enter a color hex, select the desired color from the color wheel, or choose from one of the default color(s)

    • Photo

      • Select Upload, Pexels, or Pixabay

      • If you choose Pexels or Pixabay, search and find the image you would like to use, hover over the image, and click Set as Background in the top right corner

      • Drag the image to reposition it

      • Use the Scale Image slider to control how much of the image is visible in your background image

      • When your image is customized, click Apply Background

Edit Your Background

  • In the Design module, click the Background icon on the left-hand side

  • Select Color or Photo

  • Make your desired edits

  • Replace Image: replace the background image on the certificate

  • Reposition: change the positioning of the background image on the certificate

    • Color Overlay: overlay the image with a color of your choice

      • Click the color block square to edit the color

      • Adjust the slider to adjust the intensity of the overlay on the image

    • Exposure: control the overall lightness and darkness of the image (affects both highlights and shadows)

    • Brightness: control the lightness of the image (affects lightness but not necessarily the shadows and highlights)

    • Contrast: control the distinction between light and dark areas of the image

Add and Customize a New Shape

  • In the Design module, click the Shapes icon on the left-hand side

  • Select Iconfinder to search and add an icon, or search select from one of the Basic Icons

Edit Your Shape

  • Click the Shape you want to edit

  • Make your desired edits

Settings in the Menu Bar Above the Shape

  • Color: adjust the color options of your shape

  • Photo: adjust the photo options of your shape

  • Clone: add a copy of the shape to your certificate again

  • Flip Horizontal: flip your shape horizontally

  • Flip Vertical: flip your shape vertically

  • Delete: delete the shape from your certificate

Photo Settings

  • Place Image: upload your image

    • Select Upload, Pexels, or Pixabay

    • If you choose Pexels or Pixabay, search and find the image you would like to use, hover over the image, and click Add in the top right corner

    • Drag the image to reposition it

    • Use the Scale Image slider to control how much of the image is visible in your background image

    • When your image is customized, click Apply Image

Email or Download an Export of Your Certificate Design

  • In the bottom left corner, click Export Design

  • Download Your Certificate

    • Enter the file name of your certificate

    • Choose the format of your certificate

    • Click Include Crop Marks and Bleed if you would like to include any crop marks and bleeding in your exported certificate

    • Click Download

  • Email Your Certificate

    • Enter the desired email

    • Click Include Crop Marks and Bleed if you would like to include any crop marks and bleeding in your exported certificate

    • Click Email

Pro Tip: When you are done customizing your certificate, click Save & Close to save your certificate design!


Issue the Certificate

  • From the Pages screen, hover over the Extras tab in the top menu bar

  • Select Certificates

  • On the left-hand side, select Certificates

  • Click Issue Certificates

  • Review the recipients you want to receive the certificates

    • If you used Filtering and the Check-in checkbox, our system will automatically exclude any individuals who do not meet the requirements

    • De-select any people to which you would not to like to send a certificate

  • Click Continue

  • Set the Subject of the email

  • Enter the From Name - This text will be who the email is showing it is coming from

  • Enter the Reply-to email - This email address will receive any responses if donors reply to the email

  • Create the Message - The message field is used to customize your email message

  • Click Issue Certificates


Manage Your Certificate

You can view, edit, and delete your certificates before your certificates are issued. After your certificate is issued, you can no longer edit or delete the certificate.

Warning: Deleting a certificate cannot be undone. So proceed with caution.

  • From the Pages screen, hover over the Extras tab in the top menu bar

  • Select Certificates

  • On the left-hand side, select Certificates

  • Find the Certificate you would like to manage, and click any of the following icons:

    • The page icon allows you to duplicate your certificate

    • The eye icon allows you to view the certificate

    • The pencil icon allows you to edit the certificate

    • The trash can icon allows you to delete the certificate


Registrant Experience

Registrants who are issued a certificate will be sent an email with the custom text you entered and a download link with a copy of their certificate.


FAQs

What user permissions do I need to access certificates?

A user must have reports and exports permissions on the specific page to view and create certificates for that particular page. Users will only have access to certificates on pages in which they have reports and exports permissions.

Users without the required permissions cannot view personal registrant details on certificate pages or create, edit, or issue certificates.

Can I re-issue a certificate?

Right now, a certificate cannot be re-issued. Our team is looking to add this feature soon!

If one of my registrants misspells their name or email, how can I fix it?

If a registrant misspells their name or email, we recommend editing the registration, and fixing the name or email on the registration itself.

Can I download or print my certificates?

Right now, users can download certificates individually after the certificates have been issued. Here is how to download an individual certificate. Right now, certificates cannot be downloaded in bulk.

  • From the Pages screen, hover over the Extras tab in the top menu bar

  • Select Certificates

  • On the left-hand side, select Certificates

  • Click the eye icon to view certificates

  • Click the download icon next to the certificate you would like to download

If I don't have a name or email to the registrant section of my page, who will the certificate be sent to?

If your registration page doesn't have a name field on the registration section, our system will display the billing name on the certificate. If your registration page doesn't have an email field on the registration section, our system will send to the billing email.

Warning: If you use our multi-reg option, we strongly recommend adding both a Name and Email field to the registration section of your page. Without names for each registrant, our system will populate the billing name for each registrant in the order on the certificates.

Can I send a certificate for more than one event?

Certificates are linked to an individual page to ensure data consistency and accuracy. If you would like to send certificates to multiple pages, we recommend creating multiple certificates.
