The Ambassador Program turns your registrants into event promoters by giving them a unique link to share with friends and family. Ambassadors can earn money back on their original registration for each order purchased through their link, potentially earning enough to attend your event for free. In this article, you’ll learn how to set up, edit, or pause your Ambassador Program and review its performance.
Pro Tip: The Ambassador Program is only compatible with registration pages that process in USD. Other currencies are not supported.

Getting Started
From the Pages screen, click the pencil icon on the page you want to edit
Hover over the Promote tab in the top menu bar
Select Ambassador Program from the dropdown
Click Start Program

Pro Tip: We recommend setting the Ambassador Program payout date after your event ends. Once an ambassador payout is issued, the ambassador’s original order can no longer be refunded or canceled.

Enter when the ambassador program ends and earned refunds are issued
Choose how ambassadors enroll
Voluntary Enrollment: Registrants can choose to enroll from their confirmation page or email, then receive a unique link to share with friends and family
Automatic Enrollment: Every registrant is automatically enrolled and receives a shareable code on their confirmation page and in their confirmation email
Choose where to display information about the ambassador program. By default, information about the Ambassador Program appears on both the confirmation page and in the confirmation email
Click Edit Message to customize the button text, Ambassador Program description and the message once they enroll
Pro Tip: RegFox will only refund ambassadors up to the cost of their order. However, RegFox will continue to track their sales above and beyond their original transaction amount, which allows you to reward them in whatever method works best for you.
Note: If you’re using a custom payment processor, be aware that some processors limit the time frame for issuing refunds to a buyer’s card. A common limit is between 60 and 90 days from the original transaction date. (Note: Webconnex Payments does not have a maximum refund window, so you can refund at any time).
For example, if a registration was purchased on January 1, some payment processors may only allow refunds through the end of February. If you’ve exceeded this refund window, we recommend contacting your payment processor directly and asking them to manually process the refund on your behalf.
Select whether buyers who use an ambassador link receive a discount. The discount can be a fixed amount or percentage.
Set an expiration date for the discount, if desired
Select which fields the discount applies to. If no fields are selected, the discount applies to all fields on the page
Click Save

Select Ambassador Program from the dropdown
Click Edit in the top right corner

Pause or Re-Enable Your Ambassador Program
Pro Tip: While the Ambassador Program is paused, new codes cannot be issued or redeemed, but scheduled payouts will still be processed. The Ambassador Program field is automatically removed from your registration page until you resume the program.

RegFox allows you to view a quick overview of your ambassador program or download a detailed report of your ambassadors and their sales. Here's how to access both.

From this page, you can see a list of ambassadors and a list of sales and sign ups that have taken place through the Ambassador Program
Click Email Ambassadors to send an email to your ambassadors

Yes! To do this, we recommend turning on automatic enrollment for your Ambassador Program. After publishing your changes, resend the registrant's confirmation email. This confirmation email will include their ambassador link.

Can I restart an Ambassador Program after its payout date has passed?
No. Once the program's end date has passed or ambassador refunds have been issued, the program has ended and cannot be restarted.

No. Once an ambassador receives a payout from the Ambassador Program, their order can no longer be canceled or refunded.
Can I use the Ambassador Program if my page processes payments in an international currency?
Can I use the Ambassador Program if my page processes payments in an international currency?
No. The Ambassador Program only supports RegFox pages that process payments in USD.
Does the Ambassador Program work for waitlisted registrations?
Does the Ambassador Program work for waitlisted registrations?
Waitlisted registrations cannot receive a refund, even if they refer others to sign up. This is because they are not officially registered for the event and have not paid for their registration.
