Create a Schedule for Your Virtual Event

Virtual Events Pro is directly tied to a schedule. Do you have multiple sessions across a period of time or multiple days? Not a problem! Use the Virtual Event Pro schedule builder to create multiple sessions of various types.

Begin by clicking "Schedule" under the Virtual Event tab.

Click "Add Session" in the top right-hand corner.

This will bring you to a menu of the various session types you can add.

Pick a technology type you know you are going to use or a session type.

**You can edit it after if an update is needed

Begin Filling Out the Session Settings:

Settings & Their Function:

Title: Displays name of the session

Date/Time: Sets the Date & Time of the session and places the session in the schedule accordingly.

Session Type: Categorize your session. If you don't see a category that fits, you can select "Other".

Technology: Select the type of technology you're going to use for the session. Depending on the technology type, you can link to it or embed it. If you don't see your technology type, select "Other".

Description: Elaborate on what the session is about. Give your registrants all the information they need to be successful.

Image: Add an image of the speaker or an image that relates to the session.

Capacity: Limits the number of people who can add the session to their schedule.

Sponsored Sessions: This allows you to select a sponsor from your sponsor list to sponsor a session. This will show up in the schedule and session details.

Additional Embed: Enables the ability to embed external chats, documents, surveys, or donation forms.

Auto Add to Schedules: Automatically will add that session to everyone's schedule.

Related Sessions: Designate other sessions that relate to this session's topic.

Replay Link: Insert a link to a website or service where the recording is stored so people can watch the replay later. You are able to edit the session to add this link.

Once Saved, it will show up in the Schedule Builder in order of the Date/Time on the Session:

What the Attendee Sees:

When the attendee clicks "Schedule" in the Virtual Event, they see the upcoming and any past sessions:

The attendee can view the details of the session or add them to their calendar.

My Schedule: An attendee can filter to see the sessions they've added to their personal schedule.

Past: An attendee can see past sessions and view the replay links within the session details.

FAQs

  • Can I have a waitlist with the capacity setting? No.

  • Can someone remove a session that is automatically added to their schedule? No.

  • Can I embed or upload a video for the replay? No - right now it's only hyperlinking to the video.
