Understand Pull Sweeps and Learn Why Funds Were Withdrawn From Your Bank Account

Learn why pull sweeps happen, why money was debited from your bank account, and where to find the details in your payout reporting

Because you are processing money through Webconnex Payments, you may wonder why Webconnex Payments debited money from your bank account on certain occasions.

This process, known as a pull sweep, is done to keep your Webconnex Payments account in good standing when your balance goes negative. This article will walk you through what a pull sweep is, why it happens, and how pull sweeps work. We’ll also explain how to reconcile this activity and what to expect in your reporting.

Important Terms

When talking about Pull Sweeps, there are some important terms to note.

  • Merchant Account: Your Webconnex Payments Merchant Account receives any funds that your registrants pay. This Merchant Account fills up, and gets drained and sends payouts to your bank account weekly. The Webconnex Payments Payout Report reports on the activity in your merchant account(s).

  • Bank Account: An external bank account that receives the money from your Merchant Account. The Webconnex Payments Payout Report does NOT have access to your bank account.

What Is a Pull Sweep and Why Does It Occur?

A pull sweep occurs when your merchant account balance drops below -$5 on Wednesday at 7AM PST. Pulls Sweeps are done to ensure your merchant account remains in good standing, and brings your balance back to $0 before the next payout cycle.

When your merchant account balance drops below -$5 on Wednesday at 7AM PST, that exact negative balance is pulled from your bank account via ACH, and those funds are given to your merchant account. Pull sweeps take 2 business days to process and settle in your Webconnex Payments merchant account.

Pro Tip: When Webconnex Payments takes a pull sweep from your bank account, your merchant account is replenished. The Webconnex Payments Payout Report shows these funds coming into your merchant account with the status TopUpCapture. This status indicates that funds were debited from your bank account to cover a negative balance and bring your account back to $0.

In this TopUpCapture transaction, the transaction date is the date the money was pulled from your bank account. The settled date is the date the transaction settled. The settled date is 2 business days after the transaction date.


Track Pull Sweeps That Occur at the End of Your Event

If your event processes refunds or chargebacks after the event ends, causing a negative rolling balance on Wednesday at 7AM PST, there will be a pull sweep taken from your bank account to replenish your merchant account.

Let's assume you hosted an event with transactions that took place between July 2, 2025 and July 7, 2025. At the end of your event, you processed 3 large refunds that resulted in a negative rolling balance. Your next event occurred in October, so you didn't have any positive transactions that came in after the refunds. Click here to download the sample payout report for this example event.

Pro Tip: Webconnex Payments only generates a payout report when there has been a payout. For this reason, if you have a pull sweep on your account, you won't see a payout report until your next payout is issued. In this example, you would see your payout report in October after your event starts processing transactions again.

  • On Wednesday at 7AM PST, Webconnex Payments confirms the balance of your merchant account. If your merchant account balance is below -$5 at that time, Webconnex Payments will issue a pull sweep for that exact negative balance

  • In this example, the merchant account balance on Wednesday, July 9 is -$5,530.18, so $5530.18 is taken from the event's bank account via ACH

  • After 2 business days, the money pulled from your bank account will replenish your merchant account. This brings your merchant account balance back to $0, ensuring your account remains in good standing. Once you receive a payout report, you will see this transaction in your payout report. This transaction will be under the Type "TopUpCapture"

  • In this example, the $5530.18 is replenished to the event's bank account on Friday, July 11, 2025. This restores the merchant account's balance back to $0


Track Pull Sweeps That Occur While You Are Selling Registrations

When your event has refunds or chargebacks that create a negative rolling balance by Wednesday at 7 AM PST, funds will be pulled from your bank account. These funds will be added to your Merchant Account to restore your account to good standing. If you have a positive balance by the next week, you will receive a payout for that positive balance.

Let's assume you hosted an event with transactions that took place between July 2, 2025 and July 16, 2025. In the middle of your event, you processed 3 large refunds that resulted in a negative rolling balance on Wednesday, July 9 at 7AM PST. You receive positive transactions that make up for this negative rolling balance by the next week. Click here to download the sample payout report for this event.

  • On Wednesday at 7AM PST, Webconnex Payments confirms the balance of your merchant account. If your merchant account balance is below -$5 at that time, Webconnex Payments will issue a pull sweep for that exact negative balance

  • In this example, the merchant account balance on Wednesday, July 9 is -$5,530.18, so $5530.18 is taken from the event's bank account via ACH

  • After 2 business days, the money pulled from your bank account will replenish your merchant account. This brings your merchant account balance back to $0, ensuring your account remains in good standing. Once you receive a payout report, you will see this transaction in your payout report. This transaction will be under the Type "TopUpCapture"

  • In this example, the $5530.18 is replenished to the event's bank account on Friday, July 11, 2025. This amount will be included in your Wednesday, July 16 payout and will appear as a TopUpCapture in your next payout report.

Pro Tip: You only receive a payout report when a payout is generated, so you will see the payout report once you receive your next payout. If you need to know the transactions that made up your pull sweep before your next payout, we recommend reaching out to our team.

  • If you receive positive transactions and your rolling balance is positive by the next Wednesday, Webconnex Payments will send a payout for that positive balance as normal

  • In this example, the rolling balance is $20,367.77 by Wednesday, July 16 at 7AM. Because their balance is positive by the next payout, Webconnex Payments will issue a payout for those funds

Pro Tip: If your account is negative by the next Wednesday, Webconnex Payments will not send a payout. Instead, a negative balance on the next Wednesday would trigger another pull sweep from your account.


FAQs

Why don't I see a payout report?

There are a few reasons why a payout report might not be available, but the most common reason is that no payout was issued for the week. In Webconnex Payments, payout reports are only generated when a payout occurs. If there’s no payout, there won’t be a corresponding report for that week.

What happens if the automatic pull sweep on my bank account is not successful?

If the automatic pull sweep on your account is not successful, Webconnex Payments will attempt a manual pull sweep (generally after 30 days) on the bank account to restore your account to good standing. When a manual sweep is pulled, our team provide an email with a breakdown of the charge a few days before charging your account. This manual pull sweep will not appear on the Webconnex Payments Payout Report.

How can I find out which transactions made up the pull sweep I received?
